Organisational relationships:
- The post holder will report to the Contract and Monitoring Team Leader.
- The post holder is to provide a professional procurement administration resource to the organisation and support the establishment, development and ongoing performance of a proactive, modern and strategic procurement and monitoring function. To provide administration support to help ensure that the organisation delivers its objectives by demonstrating value for money and the effective use of resources. To provide cover support to the Contracts and Monitoring Team.
Duties and responsibilities specific to this post:
Listed below are the responsibilities this role will be primarily responsible for:
General
- Data input/retrieval for all Contract and Monitoring Functions – e.g. SSID, Transport and Admissions Systems, MobiRouter, Fleet Management Systems, Scheduling & Booking databases and section spreadsheets.
- Work as part of the team for procurement, purchasing and contract administration.
- Assist the team in ensuring safe and efficient operation of contracts and reporting to relevant departments of breach of contract, complaints and safeguarding of children and vulnerable adults.
- Preparation of documentation in relation to the procurement of transport to the operators, parents and establishments, also tendering/contracts documents and marketing material.
- Supporting the monitoring team with on-site and office monitoring functions.
- Distributing post and other associated items including tendering/contracts documents.
- Responding appropriately to emergencies arising in relation to the work of the section and undertaking such other appropriately graded duties and responsibilities which may from time to time be allocated to the post.
- Assist with processing financial data (invoices etc.)
- Handling requisitions for supplies/stores and placing general orders.
- Arranging/assisting with meetings as required.
- Provide administrative support to Contract and Monitoring Team.
- To liaise with outside establishments as appropriate to role.
- To manage general procurement enquiries and correspondence.
- To identify and develop improvements in administration across the function.
- To undertake such other appropriately graded duties and responsibilities that may from time to time be allocated to the post.
